Key Responsibilities
In this role, you will support the Mayor’s Office in all administrative,
coordination, and communication activities. You will be the backbone of daily
operations and play a key role in ensuring efficient service delivery.
Your responsibilities include:
1. Document & Correspondence Management
· Carefully
reviewing and verifying all documents submitted to the Mayor or Executive
Secretary.
· Preparing,
recording, dispatching, and tracking all official communications.
2. Agenda & Schedule Coordination
· Preparing
the Mayor’s agenda, including appointments, internal meetings, and field
activities.
· Ensuring
all meetings are well-coordinated, timely, and properly documented.
3. Office and Visitor Management
· Managing
the Office of the Mayor and ensuring a smooth workflow.
· Receiving,
registering, and assisting visitors with professionalism and confidentiality.
4. Logistics & Meeting Support
· Making
logistical arrangements for meetings chaired by the Mayor.
· Preparing
meeting rooms, documents, and follow-up notes.
5. External Meetings & Travel Coordination
· Organizing
external appointments and official engagements.
· Planning
and coordinating domestic and international travel for the Mayor.
6. Collaboration with Public Relations
· Working
closely with the Public Relations Unit to ensure clear communication and timely
information flow.
This position requires a detail-oriented, organized, and proactive
individual who can manage multiple tasks effectively.
Minimum Qualifications Required
