Exams to Be Conducted

Applicants must complete the following assessment stages:

1.     Psychometric Test – to measure cognitive, behavioral, and reasoning skills.

2.     Written Examination – to evaluate administrative and communication competencies.

3.     Oral Interview – to assess confidence, clarity, professionalism, and role suitability.

These multi-stage evaluations help ensure that the most capable candidate is selected.

Key Responsibilities

In this role, you will support the Mayor’s Office in all administrative, coordination, and communication activities. You will be the backbone of daily operations and play a key role in ensuring efficient service delivery.

Your responsibilities include:

1. Document & Correspondence Management

·       Carefully reviewing and verifying all documents submitted to the Mayor or Executive Secretary.

·       Preparing, recording, dispatching, and tracking all official communications.

2. Agenda & Schedule Coordination

·       Preparing the Mayor’s agenda, including appointments, internal meetings, and field activities.

·       Ensuring all meetings are well-coordinated, timely, and properly documented.

3. Office and Visitor Management

·       Managing the Office of the Mayor and ensuring a smooth workflow.

·       Receiving, registering, and assisting visitors with professionalism and confidentiality.

4. Logistics & Meeting Support

·       Making logistical arrangements for meetings chaired by the Mayor.

·       Preparing meeting rooms, documents, and follow-up notes.

5. External Meetings & Travel Coordination

·       Organizing external appointments and official engagements.

·       Planning and coordinating domestic and international travel for the Mayor.

6. Collaboration with Public Relations

·       Working closely with the Public Relations Unit to ensure clear communication and timely information flow.

This position requires a detail-oriented, organized, and proactive individual who can manage multiple tasks effectively.

Minimum Qualifications Required

This opportunity is open to fresh graduates, as no prior experience is required. Applicants must hold a Bachelor’s Degree in any of the following fields:

·       Public Administration

·       Administrative Sciences

·       Sociology

·       Management

·       Law

·       Social Work

·       Secretariat Studies

·       Office Management
